LCLS Coordinated Calendar
At a glance
- Wednesday is the default day for 1:1s and flexible meetings.
- Thursday afternoon is LCLS worktime - avoid scheduling meetings during this time.
- 8-9 AM, 12-1 PM, and after 5 PM are protected for personal time and rest.
Best practices
Start all meetings 5 minutes past the hour or half hour to give everyone breathing room between back-to-backs.
Legend
🟥 Protected blocks ask you to consider alternatives before scheduling. A small team meeting or optional event that genuinely works for everyone is fine; a required meeting that assumes universal availability is not.
🟨 Coordinated slots are when a meeting type is coordinated across LCLS, not when your day is full. Most people have one Department meeting (~1 hr), not several.
Wednesday
Wednesdays are the best day to place time-sensitive meetings since meetings scheduled on these days are the easiest to move.
Thursday
Thursday morning is the instrument teams' collaboration meeting window.
Attendees come from multiple LCLS divisions, but the work is specific to instrument teams.
Thursday afternoon is LCLS worktime.
Use it for focused work: catching up, writing, thinking. Block your calendar if you need to. If a time-sensitive meeting can't land on Wednesday or another open weekday slot, Thursday PM is the next best option. It's still preferable to scheduling over lunch, early morning, or evening blocks, which belong to life outside of work.
Friday
Fridays are the best day for meetings needing cross-LCLS attendance.
For project teams
Meet any day that works for your team. Friday is highlighted because it's when non-project LCLS colleagues are most available to join you, not because projects are restricted to Fridays.
Night shift? Skip the meeting
LCLS is a 24/7 facility. Coming to meetings tired is a safety concern, not a sign of commitment. Since organizers usually can't know you're on night shift unless you tell them, let them know you'll be declining, catching up afterward, or asking to reschedule if your input is essential.
For meeting organizers
If someone declines because they're supporting an overnight run, plan around them and trust their judgment.
Events
SLAC Colloquium (Mon 4:00–5 PM) and Photon Science Seminar (Wed 3:05–4 PM) are open, optional events. Please avoid scheduling recurring meetings over them so people have the chance to attend, but one-off or time-sensitive meetings are fine, especially if the topic isn't relevant to your division.
Coffee Chat is a community break; don't schedule required meetings over it.
